All Hands On-Deck

Important Dates and times:

Note: we need bodies to help so please recruit volunteers. 

Tuesday, May 28th

  • 1:00 pm we will start mowing the field at Scarborough Downs, we need help, please let John know what time in the afternoon you could arrive to help out.  Other days in the week at this point forecast rain, so we want to make sure we get this accomplished) -Phil and John will start at 1:00    Troy what time can you arrive?
  • 6:00 Rotary Meeting:  We need all-hands-on-deck to walk through final preparations of Touch a Truck:
    •  Entrance / Tickets: 
      • Mindy can be in charge?
      • Candy do you have a square to bring?
      • We need a team that will help set up and run registration.
      • What do we need for supplies?
      • Money, Markers, Stamps, Phones for Square
    • Food for Public
      • John & Troy, can you be in charge?
      • Snow cones? – what is needed
      • Trailer set up
      • Tents Set up
      • We need a crew for food
    • Food for Drivers Lunch
      • Deb, can you be in charge?
      • What do we need for prep/supplies?
      • Team to help deliver the lunches.
      • Coffee and Donuts in morning
    • Interact Kids Center
      • Reyleigh can you oversee/keep an eye on?
      • Bounce House – Face Painting
      • What else is needed?
    • Mascots
      • Leroy is in charge of the three mascots
      • What do we need for support?
    • Truck Set up & Driver Raffle
      • Phil will create a plan for placing the trucks
        • We will put signs up on Friday/ Sat morning where they go
      • A master plan will be available at Meeting
    • PR and Advertising Crew & Vendor support – Rayleigh and Katelyn
      • The goal is to take pictures, videos and help to promote for next year.
    • Set up Crew – We need to establish a setup crew for Friday Night
    • Signs need to be hung up this week.
    • Supplies needed – We need to establish who is getting and bring supplies
    • Tents, generators, who can help supply them.  -

Friday, May 31

  • Afternoon – Time to be Determined 4:00 pm or 5:00 pm - We need to set up the large tent, begin to rope off the parking areas and get a general walkthrough of the event.

Saturday, June 1 – Day of Event

  • 8:00 am – or earlier – Arrive for set up and getting organized
  • 9:00 – 10:00 am Trucks arrive and are placed (Some trucks arrive earlier so we need to be ready)
  • 10:00 to 2:00 Event is in full swing
  • 2:00 – 3:00 Clean up.
